QuickBooks : Change of Unit of Measurement (UOM)

I received a support call from one of the Hong Kong’s QuickBooks user; currently they are using QuickBooks 2007/08 (Asia). There was a mistake made earlier in the UOM type for some of the items.

Example:

Item number: 123
UOM for Stock: ea (Each)
UOM for Sales: ea (Each)
UOM for Purchase: ctn (Carton)

There were historical transactions on these items, such as Bills and Invoices. They wanted to change the UOM type for some of the items. They would like to change it to such as:

Item number: 123
UOM for Stock: ea (Each)
UOM for Sales: ea (Each)
UOM for Purchase: ea (Each)

This couldn’t be done in QuickBooks 2007/08 or any of the earlier versions. In QuickBooks 2007/08, it’s only allows you to change the typo if the UOM for Stock, Sales and Purchase are the same. Example, you can change 3 fields from “ea” to “pcs”.

What is the easier method or rather cheapest method of making this change?

As a layman, the easier method of doing this is to upgrade to QuickBooks 2009/10 (Asia). In QuickBooks 2009/10 (Asia), it does allow you to modify the UOM type of the item.

2009_0711_01_01This is one of the new features that I like in QuickBooks 2009/10 (Asia). From the Edit UOM window, I am able to select the other UOM type from the drop down list of the Purchase, Sales and Shipping fields.  Thus, it does allow me to keep the previous related UOM type such as “ctn” in the Related Units list.

After you have make your changes, do check your transactions and reports to ensure that your changes does not affect any of your accounts. Besides, you should perform database maintenance to ensure that your company file is in good condition.
