How do you import invoices into QuickBooks Online (QBO)?

Entering a new invoice into QuickBooks Online was relatively easy. Click the +New button, select sales invoice from the menu, and enter the invoice quickly.

Sometimes, you may have an external app or forms that capture customer orders or stock requests from the branches and wish to import them into QuickBooks. Consider using an external app if you have many transactions or require frequent importing; these apps have more features and allow you to save the import map. However, the QuickBooks Online import feature may serve the job if you do not have many transactions each time (You can import up to a 1000-row limit per spreadsheet), less frequently, or due to a tight budget.

For example:
You have a spreadsheet capturing orders from customers or branches, with columns for order number, customer, order date, due date, item code, item description, order quantity, rate, amount, and tax code. The tax code refers to the GST code, SR 9% for Singapore, which outputs GST at 9%.

Import data into QuickBooks Online (QBO)

First, save the spreadsheet in CSV format. Then, launch QuickBooks Online, click the Gear icon at the top right corner and select Import Data from the menu. QuickBooks Online allows you to import Bank Data, Customers, Suppliers, Chart of Accounts, Products and Services, Invoices, and Bills. Click the Invoices option to launch the import wizard.

Follow the wizard’s instructions, select the import file, map the fields, confirm the tax code (SR 9%), and import your file. QuickBooks will inform you if there are errors in the import file. Once imported, you can go to the invoice transaction list to check your imported result.
