I received a technical support email; this user was asking me how he could use the ‘USE’ function in the QuickBooks Chart of Accounts list.
The ‘USE’ function is in the QuickBooks Chart of Accounts list, in Account’s sub-menu (Click on the Account button, you will be able to see the ‘USE’ function in the pull up menu).
‘USE’ function, as it stated, is to use the selected account from the Chart of Accounts list.
This function is to be use together with a transaction such as Make General Journal Entry, Enter Bills or Write Cheque.
How can you use the ‘USE’ function?
When you are in the Make General Journal Entry form, Enter Bill form or Write Cheque form, you can select the account from the drop down list, but some time due to hundreds of accounts in your Chart of Accounts list, it makes the searching of your require account difficult from the drop down list.
Thus, it will be easier for you to do a search of your desire account from the Chart of Accounts list. Once you found the account code or account name that you want, you can go back to the transaction form to select the account from the drop down list again.
QuickBooks make this selecting of account for your transaction easier by introducing a ‘USE’ function in the Chart of Accounts list. What you need is after you have found your desired account, simply click on the Account button and select ‘USE’ function from the pull up menu. QuickBooks will automatically pick up this selected account and paste it into your current open transaction such as Make General Journal Entry, Enter Bills or Write Cheque form.
